    OVERVIEW AND APPROACH

    • The design will be based on the UCF.EDU WordPress theme design and client provided creative elements (images, graphics) and content (text, pdf, links, etc.). The look and feel should also capture the modern user experience of https://research.ufl.edu/.
    • The project scope includes the Primary research site with 4 custom branded microsites. It also includes 5 custom-branded standalone websites that will be separate multisite installs.
    • The site will be powered by the Divi WordPress framework that’s easy to customize and to manage by non-technical UCF staff. We will create predesigned Divi Layouts that can be applied easily to new micro sites and pages as needed.
    • This primary website’s Divi-powered theme will be the jumping off point for the microsite designs. Microsites within the primary site domain (www.research.ucf.edu) will use custom layouts but will not be standalone multisite subsites.  Sites built under their own domains (eg https://www.coi.ucf.edu/ ) will be based on a copy of the primary site’s child theme.
    • Wireframing layouts before creating Figma designs may not be necessary for all sites since we will reuse the same layouts wherever possible.
    • Custom figma designs and Divi layout templates will be created 10 designs total, specific pages TBD during discovery. To save cost and time, microsites will share the same layouts as the primary site and will re-use these pre-approved designs for templates. This will reduce the need for figma designs and custom layouts.
    • Scalewp will source content (new copy, pdfs, images, etc.) from the existing site that may be formatted into CSV format for import. Total content budget will be limited to 260 hours at a rate of $65/hour. We estimate this will allow for the custom setup of approximately 500-550 other pages using CSV or other import methods followed by page cleanup by our team. All content will need to be reviewed by the UCF team. 
    • Each microsite will be provided to the UCF team as an export that they can import into the final multisite environment. 
    • We will provide training for the company staff to update and manage new functionality on the site.
    • During theme development, ScaleWP will optimize the theme for WCAG 2.0 AA compliance and run a Chrome Lighthouse accessibility scan to gauge accessibility.  This scan score is dependent on the site’s design and content. ScaleWP’s accessibility optimization applies to the site’s WordPress theme only. ScaleWP does not perform accessibility audits but we can contract a third party if needed for an additional fee. An audit may produce a remediation plan that could incur additional development costs that are not covered in this scope.
    • ScaleWP will use UCF’s existing calendar and events plugin and integrate it with the new theme. This will include pulling in and modifying existing templates that create the event design. 

    PRIMARY SITE SCOPE

    www.research.ucf.edu Includes 5 wireframes, figma designs and layout templates, all of these areas are built in a single subsite within your multisite install. This includes the Home Page, News & Events, Publications, Research Development, Research Centers, Commercialization, Research Foundation. This may also include other areas like Communications, General Counsel and HR; all of which can be defined during discovery. The News sections will be newly populated blog posts rather than PDFs.

    Microsites Built on the Primary Domain

    The primary site includes 4 microsites that would be branded under the primary site theme design and will use have page layouts created for other pages within the site. Each will have a home page based on the primary site home page but  might include custom navigation. These are not separate multisite installs and do not have a child theme. They could have their own custom layout which gives them a look of a standalone multisite.

    These sites will not have custom Figma designs to review. No wireframing will be needed.

    STANDALONE MULTI-SITES SCOPE

    These microsites, including Research Integrity & Compliance, have their own unique domain names and each of them would be a separate subsite within your existing multisite install.  

    Rather than creating fully customized designs for each site, the approach would be to create a derivative child theme from the primary site theme. Each of these microsites will be a variation of the approved child theme. A single internal page design will be created for use on all of the sites. No wireframes will be needed. 

    Each site will have its own child theme with custom sub navigation within the microsite but would share a global navigation among all of the Research sites, whether within or outside of the child site.

    The scope includes 5 home page Figma designs based on the main site design and 5 custom layouts for each home page. 1 internal page Figma design and layout will be used for all sites. No Wireframing will be required.

    https://it.research.ucf.edu/ is a more modern design than others and may be copied as is without requiring figma designs. Layouts will need to be created.

    TIMING
    The site will be complete and ready to launch 90 days from project initiation. Timing is subject to approvals and content being provided in a timely manner.

    STATEMENT OF WORK AND ESTIMATE
    Price estimates are based on initial objectives and may change as mutually agreed upon tasks and objectives change. Cost estimates and payment schedule are provided for four milestones.

    Milestone 1: Discovery ($6,500)

    • Sitemap development: Advise on a navigation solution across multiple sites within the project. 
    • Wireframe templates: Wireframes needed to define the user experience based on current, unique pages
    • Branding consultation: Current sites have multiple logos/headers. We will advise a hierarchy for brand presentation on sub-sites to reduce confusion.

    • Complex app or other tech consultation: We will work with the UCF team to define technical and content requirements for managing documents.
    • Project management and communication: 8-10 planning and review calls. ScaleWP uses Asana and Slack for project collaboration.

    • Staging and basic theme/plugin setup: Create a staging environment and install all themes and plugins defined in the discovery process. We will attempt to replicate live multisite environment to reduce migration issues.

    Milestone 2: Design ($9,000)
    We’ll begin work after the Milestone 2 Deposit of $9,000 has been released on Upwork.

    • Branding and logo revisions: Some tweaking and recreation of logos may be needed for consistency and to improve quality across each subsite.
    • Unique Figma designs (per page design): We create Figma interactive designs for the client team to review for each primary page and a few secondary pages. No more than 10 total Figma designs.
    • Design revisions hours included: 3 revision sprints. A revision sprint consists of 1 hour of work. ½ of the total revisions.

    Milestone 3: Theme & site development ($9,000)
    We’ll begin work after the Milestone 3 Deposit of $9,000 has been released on Upwork.

    • Unique page templates: Create custom Divi theme builder templates (Layouts) for approved designs and apply to primary and secondary pages. Primary designs will be applied to microsites.
    • Custom system templates: Custom pdf, search and blog archive pages. Subsite customization may also be needed as well.
    • Site chrome: Create advanced secondary menus and menus that have the same overall design but may have some unique elements, like logos and colors,  for subsites.
    • Plugin install setup: Includes plugins to enhance document management, security, performance, on-site search, etc.
    • Web and Mobile browser testing: Confirm that the site performs as expected in most recent versions of Chrome, Safari on most recent versions of Windows, MacOS, Android and iOS.
    • Complex plugin setup or custom work: Document/PDF management plugin specification, setup and testing.
    • Add and test UCF calendar plugin. Add templates and integrate them with the new theme. 
    • ScaleWP will add the ADA extensions and perform a scan. 
    • Beta site revisions hours included: 3 revision sprints. A revision sprint consists of 1 hour of work. ½ of total revisions.

    Milestone 4: Content development ($18,500)
    We’ll begin work after the Milestone 4 Deposit of $17,000 has been released on Upwork.

    • Create additional pages beyond the home pages.
    • ScaleWP will likely create a CSV document that includes the page text, page title, and URL that we used to generate pages in bulk. These pages will likely pull from a Divi Theme Builder template to automatically place text in the 
    • Estimated 500-550 total content pages from the current sites will be imported, links and images will be corrected, links to documents added using the new document handler, all pages added to menus as needed, and legacy html/css removed from the copy. Permalinks will be defined by the client team and added when pages are created. 
    • Create standard blog posts from PDFs
    • Current “News” items are all PDFs. Convert up to 10 recent pdfs to standard blog post types for the news/blog on the main site.
    • Other data imports
    • Import up to 50 PDFs for forms, documents, etc. into the form handler plugin.

    Milestone 5: Launch sprint ($1,500)
    We’ll begin work after the Milestone 5 Deposit of $2,000 has been released on Upwork.

    • Stage to live server migration and setup: Import up to 50 PDFs for forms, documents, etc. into the form handler plugin.
    • 301 redirect management: Assist in the creation of 301 redirects for any renamed or moved pages.
    • Site speed optimization: Assist with configuring plugins and assist with the UCF team’s server performance optimization. 
    • Training: Conduct 2-3 video training sessions with the UCF team members.
    • Post-launch revision hours included: Troubleshoot and fix bugs and responsive issues.

Terms

ScaleWP LLC – Terms & Conditions

Payment & Terms:

SCALEWP requires an initial, non-refundable payment of $6,500 upon the initiation of the agreement. Client will be invoiced the Milestone amount at the initiation of each Milestone. Payments are to be released through Upwork.

Fees may vary +- 10% based on actual requirements to be determined by mutual agreement. Fees are inclusive of expenses, as long as all work required is related to development objectives previously agreed upon. Hosting is not included.

If, upon mutual agreement, additional tasks are required beyond what is covered by the proposal or agreed upon in planning, those additional hours will be billed at our discounted hourly rate of $100/hour. The client will be notified of the expected additional fees in advance of the work being initiated.

Section B: Miscellaneous

This Agreement shall not establish a joint venture or partnership, and neither party may bind the other without the advance written consent of the other party.

Publicity. The parties will cooperate to create public announcements relating to the relationships set forth in this Agreement. Neither party shall make any public announcement regarding the existence of this Agreement without the other partyʼs prior written approval.

Mutual Indemnification. Client will indemnify CM for all claims against CM arising out of activities of Clientsʼ employees and contractors. CM will indemnify Client for all claims against Client and arising out of activities of the employees and contractors of CM. The indemnifying party shall have the right to control the defense, and then the indemnified party shall provide reasonable cooperation for such defense.

“Indemnify” means to pay or reimburse for all damage, loss, cost and expense (including reasonable attorney fees).

Assignment. Neither party may assign this Agreement or delegate their duties without the advance written consent of the other party. No change or modification to this Agreement shall be effective unless signed by the parties. This Agreement constitutes the entire agreement between the parties.

Force Majeure. Neither party shall be in default or otherwise liable for any delay in or failure of its performance under this agreement where such delay or failure of its performance under this agreement arises by reason of any Act of God, or any government or any governmental body, acts of war, the elements, strikes or labor disputes, or other cause beyond the reasonable control of CM.

Governing Law. This agreement shall be governed by the laws of the State of Missouri as to all matters including, without limitation, matters of validity, construction, effect and performance.

Confidentiality. Neither party shall disclose to any third party the Confidential Information of the other party and shall not use any such Confidential Information for any purpose other than the purpose for which it was originally disclosed to the receiving party. Confidential Information means any information of a party disclosed to the other party, which is identified as, or should be reasonably understood to be, confidential to the disclosing party.

Consent. Any consent to be given under this Agreement will not be unreasonably withheld or delayed.

Client Warranties. Client represents and warrants that the Client Properties will not knowingly: (a) violate any law or regulation, including, without limitation, the laws and regulations governing export control; (b) be defamatory or trade libelous; (c) be pornographic or obscene; or (d) contain any viruses, Trojan horses, worms, time bombs or other computer programming devices which are intended to damage a user=s system or data or prevent the user from using same.

Client further represents and warrants that (a) Client has all rights necessary for the production, distribution, exhibition and exploitation of the Client Properties as part of the Work Product consistent with the license granted in this Agreement; and (b) there is no outstanding contract, commitment or agreement to which Client is a party or legal impediment of any kind known to Client which conflicts this Agreement or might limit, restrict or impair the rights granted hereunder.

Client further represents and warrants that ScaleWP has the right to display completed work from the project in announcements and promotions.

DISCLAIMER. THE FOREGOING WARRANTIES BY EACH PARTY ARE IN LIEU OF ALL OTHER WARRANTIES, EXPRESS OR IMPLIED, WITH RESPECT TO THIS AGREEMENT, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE. NEITHER PARTY SHALL HAVE ANY LIABILITY WHATSOEVER FOR ANY COVER OR SETOFF NOR FOR ANY INDIRECT, CONSEQUENTIAL, EXEMPLARY, INCIDENTAL OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, EVEN IF SUCH PARTY HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

LIMITATION OF LIABILITY. DEVELOPER’S LIABILITY TO CLIENT FOR ANY REASON AND UPON ANY CAUSE OF ACTION, WHETHER SOUNDING IN TORT, CONTRACT, OR ANY OTHER LEGAL THEORY, SHALL AT ALL TIMES AND IN THE AGGREGATE BE LIMITED TO THE GREATER OF (A) $450, OR (B) THE AMOUNT ACTUALLY PAID BY CLIENT TO DEVELOPER DURING ONE (1) FULL CALENDAR MONTH IMMEDIATELY PRECEDING THE MONTH IN WHICH THE EVENT UPON WHICH LIABILITY IS PREDICATED FOR SERVICES PROVIDED BY DEVELOPER HEREUNDER, EXCLUSIVE OF ANY EXPENSES REIMBURSED PURSUANT THIS AGREEMENT. NOTWITHSTANDING ANYTHING TO THE CONTRARY CONTAINED OR IMPLIED HEREIN, DEVELOPER SHALL HAVE NO LIABILITY FOR ANY DAMAGES, WHATSOEVER RELATING TO THE TOOLS, THIRD PARTY PRODUCTS, OR ANY GOODS OR SERVICES NOT DEVELOPED OR PROVIDED BY DEVELOPER.
